What happens after you write to us

A coordinator reads your file and identifies the right specialty, then routes the case to consultants who treat your condition regularly. Within about one business day you receive a short list of doctors and accredited hospitals with indicative costs and a realistic timeline. Nothing is booked and no reports are shared with a hospital until you say so.

If you decide to go ahead, the same coordinator stays with you through the invitation letter for the India e-Medical Visa, airport pickup, accommodation for attendants, admission, discharge and follow-up once you are home. The service is free for patients: hospitals pay our fee, which is also what lets us negotiate discounts.

Getting your reports to us

Photographs of paper reports taken on a phone are fine, provided the text is legible and the whole page is in frame. Imaging is easier for a consultant to assess as the original PDF, or as the DICOM files from the CD your hospital supplied, but the radiologist's written report on its own is enough to begin. Send documents oldest first so the sequence of care is obvious, and if an attachment is too large to send by email, split it or tell us and we will suggest another route.

A short note in your own words is worth more than it sounds. Two or three lines on how symptoms have changed, what has already been tried and what worries you most gives the coordinator context that reports rarely capture.

When you can expect a reply

Our coordinators work from India, on Indian Standard Time (GMT+5:30). Enquiries that arrive overnight for India are picked up the next working morning, so patients writing from Africa, the Gulf, Central Asia or Europe usually hear back the same day, and those writing from the Americas the following one. If the case is tied to a date - an oncology cycle, a transplant workup, or a discharge that depends on a decision - say so in the first line and it will be prioritised.

If the situation is urgent

Arodya coordinates planned treatment. It is not an emergency service and it does not provide clinical advice. Anyone who needs immediate attention should be seen locally first. We can work on the file in parallel, so a written second opinion and a shortlist of hospitals are ready for the point at which the patient is well enough to travel.

Writing on behalf of a patient

Relatives, employers and referring clinicians open a large share of our cases. Tell us your relationship to the patient, who the reply should go to, and whether the patient is aware of the full diagnosis, so that we word our response appropriately. Where several family members are involved, naming one point of contact keeps a single thread with the hospital and avoids conflicting instructions later.

Does a case review cost anything?

No. Case review, hospital options, cost estimates and coordination are free for patients. Hospitals pay our fee.

How quickly will someone reply?

Most enquiries are answered within one business day, including a specialist view on the case where reports have been shared.

What should I send in the first message?

Recent scans, discharge summaries, biopsy or lab reports, and a short note on symptoms and current medication. Photographs of paper reports are fine.

Can I contact you on WhatsApp?

Yes. WhatsApp is the fastest channel for most patients and is the easiest way to send report photographs.

Will my medical records be shared with hospitals straight away?

No. Records are only shared with a hospital once you have seen the options and agreed to proceed.

Do I have to commit to travelling?

No. You can ask for a review and estimate purely to compare against options at home. There is no obligation at any stage.

Which languages can you support?

Coordination is in English, and interpreters can be arranged for consultations, consent discussions and discharge instructions in a range of languages.

Can you help if I am not sure which specialty I need?

Yes. Send whatever information you have and we will route the case to the right specialty team.

Can a relative contact you on my behalf?

Yes. Families frequently start the conversation for a patient, and we are happy to speak with whoever is coordinating at your end.

Do you provide medical advice?

No. We coordinate access to care. All clinical decisions are made by licensed specialists at the treating hospital.

Can you help with the India e-Medical Visa?

We coordinate the hospital invitation letter and guide you through the online application and documents. The application itself is submitted by you.

What if I have already been given an estimate elsewhere?
